Welcome to the API 579 SharePoint site.
To view the 'API 579 ballots' tab you will need to sign in. You can click on the 'Sign In' button at the top right hand corner of your screen (it is very small) or just click on the 'API 579 ballots' tab and you will be prompted to sign in.
Sign in with the user name and password that were sent to you by email. Make sure you have 'INTRANET\' before your user name.
Once in the 'API 579 ballots' tab you will see folders containing the various parts of the document. As project team leaders you can read all of the files on the site but only the authorized editor for each part can check out and edit that part.
Each part contains a folder with the original document in it. This is marked 'Part XX 2007 Publication'. It also contains a ballot folder, 'Part XX Ballot XXXX'. It is within this ballot folder that you will find the word document for you to check out and edit. Click on the file. You will be asked if you want to read the file or check out and edit the file. The download takes a few seconds and you will not see any activity or 'in progress' display while you wait.
Edit the checked out file. Save your changes the same way you normally would save. If you close the file you will be asked if you want to check the file back in so that others may see your changes. Your computer may automatically make a folder for all of your SharePoint drafts. It should be located in your documents folder. It is important to make sure you 'Check In' the file after editing. If the file is checked out to you there will be a little green arrow on the file icon.

Below is a quick summary of the process to be used for editing the document.
Step 1: 'Check Out' the word document in the ballot file for your Part or Annex.
Step 2: Track changes while you edit. Save changes. Be sure to 'Check In' the file when you are finished editing.
Step 3: When all edits are complete, contact Umberto and notify him that your Part is ready for balloting.
Step 4: Umberto has access to the site. He will get the Part and assign a ballot number.
